Warwick Band Society (BandSoc) Practice Room Equipment: Terms & Conditions

These Terms & Conditions govern the booking and use of the equipment provided by BandSoc within the practice room at the University of Warwick Student’s Union. By booking a slot, you are securing the use of the equipment for a two-hour period and agree to comply with the following terms:

1: Eligibility

The use of the equipment is available exclusively to current students of the University of Warwick.
There is no age limit for members of BandSoc.

2: Booking and Payment

Bookings for the practice room equipment are available through the BandSoc website.
Each slot costs £7.50 for a 2-hour block between 10:00 AM and 10:00 PM on days when Warwick SU is open, granting access to the room and equipment for that duration.
No band is entitled to more than two booking slots per week. Anyone found in violation of this rule will have their slots revoked, and may no longer be able to use the equipment, at the discretion of the exec.

3: Equipment and Room Use

Electrical Equipment: Please do not unplug any electrical equipment. Switch it off at the plug to save power. Unplugging equipment may cause issues when reconnected incorrectly.
Personal Gear: Personal gear must have been PAT-tested by Warwick SU or BandSoc to follow Warwick SU guidelines. Power outlets are provided for this in the room. You cannot plug in any equipment that has not been PAT-tested. This includes, but is not limited to, pedals, chargers, amps, and keyboards.
Microphones: Avoid unplugging audio cables, especially for microphones, as they are fragile. If not using a microphone, turn it down on the PA and place it (with its stand) in a corner.
Care of Microphones: Please handle microphones with care. Damaged microphones may be discarded, as the BandSoc exec is responsible for the replacement of damaged equipment.
Drum Kit: The drum kit is not for personal use or abuse. Please treat it with care. Damage to the cymbals is regularly reported, and replacements are costly.
Equipment Location: All equipment (keyboard, PA speakers, mixer, amps, and drum kit) must remain in its designated corner. Moving or unplugging equipment unnecessarily may cause troubleshooting issues.
Moving Equipment: If you must move any equipment, ensure it is returned to its original place. Failure to do so may result in unnecessary re-wiring and equipment damage.
Room Security: Ensure the door is firmly locked at the end of your slot. You may be liable for any equipment damaged, or missing, as a result of the door being unlocked.

4: Housekeeping


Chairs: Please do not bring chairs into the practice room. These chairs are from the snooker society next door and clutter up the space.
Rewiring: Only rewire equipment if absolutely necessary. If unsure, leave equipment in place to avoid complications.
Food Wrappers: Use the bin for wrappers and don't leave them on the floor. Cleaning up is everyone's responsibility.
Drinks: Dispose of cans and bottles properly in the bin. Please do not leave them around.
Glasses: If you take glasses from the Duck, return them. The staff get annoyed when glasses are thought to be stolen. Also, please refrain from having full meals in the practice room (we've even found sets of cutlery).
Broken Glass: Avoid bringing glasses from the Duck. Ask for a plastic cup instead. We’ve found broken glass behind the guitar cabinets, which is a major health and safety risk.
Gum: Do not spit gum on the floor. Use the bin to dispose of it. It's unpleasant for everyone.

5: Liability and Responsibility


BandSoc is not responsible for any injuries, personal belongings, or misuse of equipment during the booked slot.
Users are liable for any damage caused to the equipment or any mess made during their two-hour slot. BandSoc reserves the right to charge for repairs or cleaning if necessary.
Any violations of these terms will be reviewed on a case-by-case basis by the BandSoc exec. If the Warwick SU staff report that the practice room is in an unacceptable state, BandSoc risks losing access to the room and ability to book the equipment permanently.

6: Cancellation and Refund Policy


Cancellations: Refunds are available for equipment bookings if certain equipment becomes unusable and the practice room equipment cannot be used to its fullest extent. No minimum notice is required for a refund in these cases.
No-Shows: BandSoc does not monitor no-shows, so there is no specific policy for missed equipment slots. Please cancel bookings if you are unable to attend, so others can book the equipment.
Refunds: No monetary refunds will be given, except in exceptional circumstances, at the discretion of the exec. Refunds may be issued as a "credit", which entitles the owner to one booking for free.
